It’s going to be a “new normal” – we keep hearing this statement. COVID-19 has indeed changed the way we look at things and the normal as we know it doesn’t exist anymore.
 
Businesses have been forced to change the way they regularly operate since the beginning of 2020. While some have been quick to implement digital solutions, others have struggled with figuring out how they can stay afloat and keep up with changing trends in this new norm.
 
At VA-SG, we’ve always advocated digital tools and automated processes to maximise productivity for our clients. This is not something new for us. It was a conscious decision to embark on this path when we started some five years ago as of the writing of this blog.
 
Since COVID-19 hit the world’s shores, we’ve received an influx of enquiries to help businesses of different sizes better transition their businesses process. While some have requested help with what is usually deemed as menial tasks – for example keying in data from handwritten forms to online spreadsheets, setting up an online bookkeeping system, etc – others have asked us to help them automate their business solutions to enhance productivity. Most of the businesses and clients we know operate from physical offices and moving to remote work has required them to change the way they do things.
 
We’ve helped wherever we can but there are still many who are struggling. With the Singaporean Circuit Breaker restrictions slowly being lifted in phases, companies are returning to a semblance of normalcy with their operations again.

As a mother myself, I constantly have to deal with a work-life balance that involves more than just working hard and then taking a break to relax.

You see, I have four children. When I’m home, there is still barely any moment where I can put my feet up and chill. I still have to run after my kids to get their homework done, run errands – the works. But my kids are my pride and joy. They’re the reason I work hard, so I can fulfil their needs and see them happy and successful.

I still remember the times I was pregnant with each of my children. I relived that exhilarating experience four times, knowing that I was carrying a life in me. Any mother reading this can relate.

But it was also not easy. I had to work to make ends meet and I was always worried that my work would slip from my hands and disappoint my clients when I serve my maternity leave.

Which is why I started VA-SG. I wanted mothers everywhere to know that, rest assured, anyone can benefit from the services we offer. Whether it’s looking for a job while staying at home or having someone to have their back while they carry out their motherly duties.

Recently, we had a client approach us. One of their assistants was expecting and was due soon. As much as the client was happy for his PA, he always wanted to ensure two things:
1. That his PA had a peace of mind while she was serving her maternity leave, and
2. That someone would be able to carry out the PA tasks while she was away so the
business can operate as usual until the PA’s return.

This client approached us and asked if we could help, and our answer was a resounding YES. We wanted to be of help to his PA so she could enjoy her maternity leave, and to help our client who needed some cover.

We were fortunate that the client approached us two months before his PA was due for maternity leave. This way we could transition well into the role, dipping our toes into the tasks slowly and asking her for guidance and preference of the way she liked to do things. We have since taken over her responsibilities so she can relax until her baby’s healthy delivery.

As with all VA-SG clients, we asked this client for feedback too. Why did he approach us instead of getting a full-time replacement? Why did he choose a Virtual Assistant after weighing out his other options? Here were his answers:

1 – Flexibility
His PA was expected to be on maternity leave for a few months. Finding a new candidate to replace her during this time, training him/her, onboarding the temporary replacement were all rigid procedures. With a VA, he knew that the remote work would not require him to come up with any additional table/desk space, or name cards even. He also knew that his PA had prepared as much as she could before her maternity leave, being the efficient person she is, and he just needed someone to be there when he required it. Tom Glasgow, head of IMF Bentham Asia’s operations in Hong Kong and Singapore, approached VA-SG for a solution to manage daily administrative tasks for his executives.
 
As part of a leading international litigation funding organisation, Tom recognised that the time and energy exhausted on administrative duties could be better spent towards vital client work.

Moreover, as the executives who needed assistance were stationed in Hong Kong and Singapore respectively, Tom needed a practical solution to improve productivity.
 
And the solution came in the form of VA-SG’s ad-hoc service offerings.

She has been actively collaborating with VA-SG from day one, and there is no shortage of dramatic stories that she has had to endure with since the beginning of her journey as a virtual assistant.

I’ve been in the virtual assistant line of service for a decade now. My journey began many years ago when I was caught between having to juggle my twins and the lack of income in the household.

Everything seemed to be falling apart until I came across the possibility of becoming a VA. I was good with my organisational skills and managed to pick up some document control tips on my previous job, so this opportunity seemed fitting at that time.

Ten years on, my network has grown. Having joined VA-SG, I feel like I’ve risen to a new pedestal in my life. My little world with my family and professional life just gets more interesting by the day.

When I say interesting, I mean that as no laughing matter.

While I often have clients who are a breath of fresh air, there are times where I feel like giving up on this line of service. It takes a lot of patience, tolerance, and punching my pillow to gather myself to continue on days when things just don’t seem to fall in place.

You would too if you had to face clients these.

I have come across several insane bosses. Demands for late night pizzas, and on one instance, the nerve of a client to deduct $5 from my pay because he needed to buy toilet paper as an emergency and didn’t have the cash on him. The reason why I got the butt of his toilet-issue? He was on the way to meet me for the first time and claimed that in his nervousness of working with a VA for the first time, he needed to run to the loo.

Really, now?

In other not so ha-ha moments (in retrospect, that is), there were cases where I had to face a lot of unnecessary drama. I recall a half-hour long discussion about why I should use a Macbook instead of a PC for my work, because, as per this client, “it’s just better”. It didn’t matter that I was using the same software. Plus, as a VA I was already aware of the difference between the two operating systems – and had already worked to fix any possible issues a long time ago. Nothing would convince him that it was not going to cause any issues in the long run.

I clearly didn’t work with that client for long.

Collaborating with teammates can be another hard nut to crack. The women I work with are, more often than not, loveable, fun and very caring towards each other. Unfortunately, all hell breaks loose when it’s the time of the month. And as theory has it, women tend to “sync” up their monthlies when they are around each other too much. Long story short, you can just imagine the mood-swings and tantrums that come at one go when we’re at work.

Still, I’ve not left my calling as a VA. It comes as a blessing wrapped in a lot of layers of hardship. If you have the patience and perseverance, determination and passion, anyone can join this line of work and create a wonderful life for themselves and ease the tensions of so many others.

I clearly have it in me to handle these trials and tribulations and to see the light at the end of the tunnel. Do you?​

Save An Hour A Day. Hire A VA!

Are you a CEO? Founder of your company? Business owner?

If yes, do you often find yourself working on these not-so-glamorous tasks every morning when you reach work?

STARTING A SIDE HUSTLE? GET A VA TO HELP!

Imagine this – you already have a day job which pays enough to put food on the table. This is great but not satisfactory in terms of helping you fulfill your other life goals – a new house, a car, or even a ticket across Europe.

So what do you do?

You consider juggling a side business that’ll help you earn a little bit extra on the side.

But then you come across a dead-end: with your full-time job, you’re left with no time to spare on another venture after considering time you need to spend with the family and friends and over handling other responsibilities.
Why not hire a Virtual Assistant (VA) then?

I know – the idea seems a tad bit ridiculous. Here you are trying to make ends meet and fulfill your own passions and goals. How could hiring someone else that you have to pay help you generate more income?

In other words, why should someone starting a side hustle to get extra income waste money by getting a VA to help?

This might not make sense to anyone. It might even sound like shooting your own foot, slamming the door in your own face, digging your own grave.

All exaggerated emotions aside – trust me, it’s the right thing to do.

I’ll use myself as an example in this situation.

I have a day job that takes up a good 8 hours of my day – 10 if you consider travelling time. On top of that, I pursue my passion as a freelance writer after working hours and on weekends. Which leaves me with practically ZERO HOURS to consider making any additional income for any lavish expenditure I suddenly have an interest in.

I think they call it the itch - if I need the money, I have to get it.

And one way to do it is to first SPEND MONEY.

I do so by hiring a VA to help me manage my side hustle. Whilst it is clearly unethical for me to hire a writer to do my writing, I can however, hire a VA to help me handle all the tasks that I do not want to waste my time on. In other words, tasks that are important but I have no slightest interest in actually participating in (think accounts, for example).

But that’s just me.

Now put yourself in that situation. Do you see how a VA can help you?
